You will be required to log in to access any further pages here. If you log in as guest/guest, you will have access to a test area which you can play with as much as you like to explore the software.

This roster system is designed to work one quarter (3 months) at a time. In the second or third month of a quarter you will automatically be taken to the roster for the next quarter. It is possible to select other quarters though.

The first time you visit the roster for a given quarter, all relevant data will be copied from the previous quarter. This includes the list of roles, the list of all participants and the number of times they typically participate in each role. Subsequenct changes to these lists will only affect the current roster.

The following tasked might need to be performed.:

  1. Verify/update the list of roles. This should not need to be done often but is is worth considering if any changes are needed.
  2. Make sure that the table of which roles are incompatible with other roles is up-to-date. In will normally only be needed when new roles are added. Note that if two roles are marked as exclusive, that doesn't prevent you from rostering someone in both one the one day, but it will cause those assignments to be highlighted in red.
  3. Send an email to everyone asking for availability date. As people reply, add it to the roster.
  4. Print out the list of current availabilities, and take it to church to collect more information.
  5. Put all the availability information into the roster and start assigning people to dates and roles.

    There is a list of people at the bottom of the page. When you select someone, their name, email, comment and availability information is filled it so you can view it and change it.

    Each slot in the roster has a drop-down menu that allows you to assign someone. It will only list people who are available on that day, and who sometimes fulfil that role. People who are already fully committed should show in red or orange.

    If you click on the role name at the top of a column, a suggestion for someone to fill a slot in that roll will appear at the bottom under the comment. If that suggestion is confirmed, the change will be made and another suggestion offered. If you don't like a suggestion, you can alway make a different change and then ask for another suggestion.

  6. Print out a draft roster and take it to church and check the people are happy with it. Then make any changes needed.
  7. Finally send an email to everyone to inform them of their assignments, and print out final rosters after checking the blurb and the back page.
